What to put in a material RFQ
A clear request for quote gets accurate prices faster. Use this checklist before you send an RFQ to any supplier, on Lumby or anywhere else.
Job site
Suppliers price delivery by distance and access, and some only serve a set radius.
- Full job-site address with ZIP code
- Delivery or pickup at the yard
- Anything that limits access: tight street, low clearance, no truck parking
Timing
The date decides whether the yard can fill the order from stock.
- The date you need the materials on site
- A delivery window (morning or afternoon)
- Whether the order can come in more than one drop
Delivery and placement
A boom truck or crane changes the price, so say so up front.
- The vehicle you need: standard drop-off, boom truck, piggyback forklift or spider crane
- Where materials go: for example "3rd floor" or "stage by the elevator"
- A site contact name and phone for the driver
Materials
Line-by-line lists get line-by-line prices you can compare.
- One item per line
- Quantity and unit on every line (pieces, LF, sheets, bundles)
- Size, grade, species or treatment where it matters
- No duplicate lines; merge them first
- Whether substitutions are OK
Terms
Payment terms can change the price and who can take the order.
- How you plan to pay: pay now, COD or Net terms
- Tax status, if your project or business is tax-exempt
- A short note with anything the supplier should read first
